The IT Manager is not a support role, it is a leadership role responsible for owning and building the systems that power our operations. From POS and online ordering to loyalty, reporting, and third-party platforms, this position ensures our technology is clean, consistent, and built for growth.

Position Overview
The IT Manager is the single point of ownership for all operational systems across O'Bagel. This role works directly with the COO to ensure our technology supports store execution, guest experience, cost control, and scalability.

This position is responsible for:
  • System accuracy and standardization
  • Seamless rollouts and updates
  • Data integrity and reporting
  • Supporting store teams with reliable technology

This role is ideal for someone who is detail-oriented, operationally minded, and thrives in a fast-paced, growth-focused environment.

Key Responsibilities

Toast POS & System Ownership
  • Own and manage Toast Multi-Location Management (MLM) across all stores
  • Build and maintain menu architecture across POS, kiosks, online ordering, and catering
  • Standardize modifiers, routing logic, and kitchen flow
  • Execute LTO rollouts with zero errors and on-time delivery
  • Manage permissions and access across all locations
  • Conduct ongoing system audits to ensure accuracy and consistency

Inventory, Costing & Craftable
  • Lead implementation and ownership of Craftable (commissary and store level)
  • Maintain accurate recipe builds, costing, and ordering workflows
  • Ensure alignment between Craftable and POS systems
  • Provide weekly reporting on cost, margins, and performance
  • Identify opportunities to improve efficiency and reduce waste

Digital Platforms & Online Experience
  • Lead migration and ongoing management of O'Bagel website (Toast platform)
  • Maintain and optimize online ordering systems and user experience
  • Ensure branding, menu accuracy, and functionality across digital platforms
  • Partner with marketing on content updates and improvements
Loyalty, Email & SMS Systems
  • Own and manage loyalty programs across all channels
  • Build and maintain email and SMS marketing systems within Toast
  • Lead migration off Lunchbox with full data integrity
  • Monitor performance and support guest engagement initiatives
  • Create SOPs, training materials, and troubleshooting processes

Third-Party Delivery & Catering
  • Manage all third-party platforms including:
o Uber Eats
o Grubhub
o Goldbelly
o EZ Cater
  • Ensure menu, pricing, and branding consistency across all platforms
  • Own Superorder system management and reporting
  • Monitor guest feedback, refunds, and performance metrics
  • Support catering growth and new market launches

IT Operations & Store Support
  • Conduct monthly IT audits across all locations
  • Troubleshoot and resolve store-level technology issues
  • Ensure all systems are operational:
o POS
o Kiosks
o Printers
o Cameras
o Music systems
  • Train managers on systems and best practices
  • Build and maintain IT SOPs and knowledge base

Data, Reporting & Growth Support
  • Maintain clean and accurate system data
  • Provide:
o Menu mix reporting (Top 10 / Bottom 10)
o Weekly system performance reports
  • Support leadership with clear, actionable insights
  • Assist with sales category structure and reporting improvements

New Store Openings & System Rollouts
  • Build and execute Toast setup playbooks for new locations
  • Support new store openings (remote and on-site)
  • Lead menu builds, system testing, and launch readiness
  • Ensure systems are fully operational prior to opening
  • Support menu updates and system-wide rollouts
Qualifications
  • Experience with Toast POS (Multi-Location Management preferred)
  • Experience with restaurant systems, inventory, or costing platforms
  • Strong organizational and project management skills
  • High attention to detail and accuracy
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication skills with both operators and leadership
  • Self-motivated with a strong sense of ownership and accountability

Physical & Work Requirements
  • Ability to travel between store locations as needed
  • Ability to sit, stand, and work on a computer for extended periods
  • Availability to support occasional off-hours system updates or rollouts
